Product Inventory Details

On stock-tracked Products in your inventory, there is a Stocks tab where you can enter in additional information for your Product at each Location:

  • Minimum stock level
  • Maximum stock level
  • Bay Location

To add or access further details from the Stocks tab, simply click on any Location on the list, which brings up a window with further information.

Note that to be able to see the Stocks tab:

  • The Track Stock box must be checked on the Product.
  • The tab may be hidden, and you need to edit the record tabs to make it visible.

Bay Locations

If you’re looking for information on Locations, visit this pageBay Locations are different to Locations:

  • You can use Bay Locations whether you have one or many Locations.
  • Bay Locations are used to tell you the position of stock within a Location.
    • For example, I have a Location in CRM called “Sydney Warehouse” and within that I have several Bay Locations for “Store Room”, “Cold Room” and “Shelving”. So, when an order is placed, my team knows which Location it is for and where to find the stock.

On Products where the Track Stock box has been enabled, you can specify a Bay Location for your stock to make it easier to physically locate e.g. stock may be on a particular shelf, in a room, located in a particular aisle etc.

You are able to enter in details about a product’s location via the Bay Location field, which is accessed via the Stocks tab on Product records.

Just click on a record for a Location to reveal a field where you can add a Bay Location. When you are done, click Save.

Once this information has been entered in:

  • You can see the Bay Location from the Stocks tab of the Product.

  • You can add the column for Bay Location to the Inventory > Stocks page.

PDF documents like your Picking List could be customised to include the Bay Location of stock to make it easier for people to pick orders.

Minimum & Maximum stock levels

On Products where the Track Stock box has been enabled, you can specify minimum and maximum stock levels for each Location your stock is held at.

  • Minimum Stock – A figure that indicates the default minimum stock level for the stock item for each location. When stock reaches this point, reordering is required.
  • Maximum Stock – A figure that indicates the maximum stock level for the stock item. This is the level to which reordered stock is to be raised. Recommended Stock is another way of showing the maximum stock level.

You are able to enter in details via the Min Stock and Max Stock fields, which are accessed via the Stocks tab on Product records.

Just click on a record for a Location to reveal fields where you can add this information. When you are done, click Save.

Once this information has been entered in:

  • You can adjust the columns on the Stocks tab of the Product to show Min Stock and Recommended Stock. 
  • There are additional columns for:
    • Overstock Units: this figure shows how far over the Max Stock figure the stock is.
    • Suggested Order: this figure shows the difference between the Min Stock and Max Stock i.e. how much you would need to re-order/manufacture to bring stock up to the Max Stock level.

  • From Inventory > Stocks you can see columns for Min Stock and Recommended Stock. 

  • From Inventory > Stocks if you go to create an Advanced Filter you can select from fields and rules to build your filter.
  • Stock level alert – stock is either under the min/max levels, has a negative In Stock quantity or all stock is fully committed to orders.
  • Stock level under min – the stock is below the required minimum.

Using these rules, you can set up Filters to quickly display your stock information in future.
