Using Letter Templates
You can also refer to Creating Templates and Using Templates to learn more about when and how you can use and create Letter Templates.
Letters as an email attachment
You can add any of your Letter Templates as an attachment to an email in one of two ways:
- When you create an Email Template, you can specify a Letter Template that should be attached to the email every time you use the template. For more information on how to set up an Email Template to include a Letter Template, please refer to the Creating Templates page.
- When you are creating a new email from anywhere in CRM (with or without using an Email Template) – the following example shows you how to send an email with a Letter Template attachment from a Contact record:
- Locate your Contact record in CRM and open it.
- Click on the Email button to reveal the area where your email is composed.
- Click on the Templates drop-down field to show a list of available Templates – this is optional, as you may not want to use an Email Template.
- To add a Letter Template as an attachment to the email, you can select one you’ve already created from the Letters drop-down field.
- Click Send.
- The email will then appear in the Timeline area of the Contact record.
- Your Letter will be attached as either a Microsoft Word or PDF document, depending on the options you have chosen when setting up your Letter Template.
Bulk Letters from Marketing Lists
You can generate Letters in bulk by selecting a target group from your Marketing Lists.
- Navigate to Lists in the Marketing area.
- Select a List from the page to open it.
- Click on either Preview Letter or Merge Letter. Both options will open a pop-up window where you can select from the available Letter Templates in your CRM.
- Preview Letter will open a copy of your Letter Template so you can check it is the correct one.
- Merge Letter will populate your Letter Template with the details of the Companies or Contacts that are in your Marketing List.
Bulk Letters from Companies or Contacts
You can also generate Letters for multiple recipients by selecting a target group from your Contacts or Companies records:
- From either the Company or Contact module in List view select the desired recipients – you could apply a Filter or Layout to display different groups of records as a quick way of selecting the recipients.
- Click on either Preview Letter or Merge Letter. Both options will open a pop-up window where you can select from the available Letter Templates in your CRM.
