About Automations
Automations in Tall Emu CRM
Automations are a series of steps triggered automatically within Tall Emu CRM. They help streamline processes, enhance efficiency, and ensure consistency across your tasks.
Trigger Types
Automations are initiated by specific triggers, including:
-
Record Created: Activates when a new record is added (e.g., a new lead).
-
Record Updated: Triggers when an existing record is modified (e.g., an updated quote).
-
Record Created or Updated: Fires when a record is either created or updated.
-
Record Deleted: Initiates when a record is deleted (use is limited).
-
Scheduled Trigger: Runs at a set time (e.g., daily or weekly).
-
Webform Submission: Triggers when a webform is submitted (e.g., a contact request).
Common Automation Actions
Once triggered, automations can perform the following actions:
- Send Email: Automatically sends emails to users, teams, or contacts. Customise templates, recipients, and content based on workflow needs.
- Send SMS: Triggers SMS messages to users or contacts based on actions.
- If: Creates decision points in workflows (e.g., if the quote value is over a set amount).
- Wait: Pauses a workflow for a specified time, until a particular day, or based on a record field (e.g., wait until a business day).
- Assign: Automatically assigns records to a user or team, either by specific assignment or in a round-robin manner.
- Create Record: Generates a new record (e.g., task, note, quote) in your CRM based on workflow triggers.
- Update Record: Modifies fields in existing records, either directly or in linked records (e.g., update status or add a note).
Example Use Case
-
Trigger: Quote is accepted.
-
Actions:
- Update the customer’s lifecycle stage to “Customer.”
- Create a note on the customer account.
- Send an email to the credit manager.
- Update the quote status to “Accepted.”
- Send an email to the opportunity owner.
How to Set Up Automations
-
Choose Trigger: Select the event that starts the automation (e.g., a record update or form submission).
-
Define Actions: Choose the actions to follow the trigger (e.g., sending emails, creating records).
-
Refine Conditions: Use filters to make the automation more specific, such as triggering only for certain fields or values.
-
Test: Run a test to ensure the automation works as expected before applying it to live records.
Benefits of Automations
-
Consistency: Ensure processes are followed accurately every time.
-
Efficiency: Save time by automating repetitive tasks like follow-ups, notifications, and data updates.
-
Customisation: Tailor automations to your specific business processes and customer needs.
For more detailed instructions or to start setting up your automations, refer to specific help articles for each action and trigger in Tall Emu CRM.
