Additional CRM setup steps
Once you have completed the key CRM setup steps, you are ready to perform deeper customisation work that will help you to streamline your operations and get the most out of CRM.
You can set up multiple Web Templates in CRM so that customers can view, accept and pay orders online. We have guides to help you set up your web-based templates for:
All these templates are managed from Admin > Settings > Quoting And Selling.
If you’ll also be integrating CRM with one of the payment gateway options, customers can also pay for their orders (or pay a deposit) online.
You can also create Quote Form Templates so that Quotes can be quickly and easily created using a pre-defined form in CRM and you can set your quoting preferences at a system level with these instructions.
You can customise drop-down lists in a number of CRM fields so that the system reflects your sales process and business terminology.
This is a key step in making sure that CRM is set up correctly for your business.
The choices that you make now will determine how quickly you can pull out different types of data in future, how your sales pipeline is organised and how easy it is for your Users to work with your data generally.
We recommend starting with customisation of the following fields at an absolute minimum:
You can access all these fields from Admin > Settings.
From Admin > General > Prefix/Sequences settings you can edit the prefix and starting sequence number to create a new Record Number.
In the following example, I have implemented the following as the starting Record Numbers:
- Q-500 for Quotes
- SO-400 for Sales Orders
- INV-250 for Invoices
- PO-200 for Purchase Orders
- When you are done, remember to click on the green Save button at the top of the page to apply your changes.

You can use Web Forms to replace things like the existing ‘Contact Us’ form on your website so that submitted form data goes straight through to your CRM – gone are the days of manual data entry!
Setting up a basic form to bring in enquiries from your website means that the information can go straight into your sales pipeline in CRM (Opportunities).

You can set up various Email Templates within CRM to customise your interactions with customers, streamline your workflow and personalise your communication.
You can create and manage your templates from Admin > Settings > Activities & Calendar > Email Templates using this guide.
You can add courier, carrier and freight companies and services to CRM with this guide so that you can adding shipping details to Sales Orders, Purchase Orders, Inbound Shipments and Outbound Shipments.
